Troubleshooting VRI: Quick Reference Sheet

Video Remote Interpreting (VRI) is a valuable tool for providing timely access to communication, but like any technology, it can occasionally experience glitches. This troubleshooting guide is designed to help you quickly identify and resolve common issues. Following these simple steps can minimize interruptions and ensure effective communication for everyone involved.

Connection Problems

  • Check the link: Ensure the interpreter has the correct Zoom/Teams/Google Meet link.
  • Resend quickly: The Teacher or IEP coordinator can resend or re-invite the interpreter.
  • Try another browser/device: If one platform isn’t working, switch to Chrome, Edge, or a different device.
  • Backup plan: If the interpreter can’t connect, use captions, a notetaker, or record the class with a transcript provided later.

Video Issues (Frozen, Blurry, Lagging)

  • 🔹 Move closer to the Wi-Fi router or switch to a wired internet connection.
  • 🔹 Close other programs or tabs using bandwidth.
  • 🔹 Restart Zoom/Teams or the device.
  • 🔹 Provide a portable Wi-Fi hotspot if the school connection is weak.
  • 🔹 If needed, relocate to a different classroom with stronger internet.

Sound Issues

  • 🔊 Check the microphone is unmuted and placed correctly.
  • 🔊 Use an external mic (lapel, tabletop, or omnidirectional).
  • 🔊 Reduce background noise in the room.
  • 🔊 If audio cuts out, the interpreter and student can connect by phone call for sound while keeping the video on screen.

Visibility Issues

  • 📌 “Pin” or “Spotlight” the interpreter’s video so it stays visible.
  • 📌 Use side-by-side view or a second screen (laptop + tablet).
  • 📌 Position the student so they can see both the teacher and the interpreter video easily.
  • 📌 Provide an extra device (loaner tablet or Chromebook) if needed.

Additional Supports

  • 🧑‍💻 Test before class: Teacher, student, and interpreter log in 5–10 minutes early.
  • 🛠️ Involve IT staff early to check Wi-Fi speed, firewalls, and dead zones.
  • 🗂️ Have a backup interpreter or notetaker available if repeated issues occur.
  • 📞 Create a contact chain: Who to call if VRI fails (IT, IEP coordinator, interpreter agency).
  • 📝 Document recurring problems so the IEP team can adjust accommodations if needed.

If the issue continues after trying these steps, contact your technology support team or interpreting provider immediately. Reliable access is essential—don’t wait to report problems. Consistent feedback helps improve the service and ensures that deaf students receive the full benefit of VRI services.
